How to choose a B2B sales tech stack
Start from where deals stall, then buy the category that fixes that step. Our B2B sales tech stack design guide covers integration in more depth.
Founder-led or fewer than 10 sellers
A low-cost CRM (HubSpot or Pipedrive), combined data and sequencing (Apollo.io), scheduling (Calendly) and proposals with e-signature (PandaDoc) cover most needs. Avoid multi-year contracts until the process is repeatable.
SMB and transactional inside sales (10 to 50 sellers)
Add dedicated sales engagement (Outreach or Salesloft) when reps run daily multi-step sequences, conversation intelligence (Gong) when managers can no longer review enough calls, and routing (Chili Piper) if inbound drives pipeline.
Mid-market complex sales (50 to 300 sellers, buying committees)
Long, multi-stakeholder cycles need governed content and enablement, digital sales rooms where buyers and sellers share content and next steps (Revspire, Dock or Seismic), AI role-play before high-stakes calls, and forecasting (Clari Forecast or Gong Forecast).
Enterprise and regulated industries
Prioritise governance, SSO, permissions, CRM depth (Salesforce or HubSpot Enterprise) and fewer vendors. Ask how AI is priced: Outreach, HubSpot, Chili Piper and Salesforce meter AI usage in credits on top of seats, and ZoomInfo meters data exports the same way.
Five questions to ask every vendor
- What does it write back to our CRM, and which objects sync?
- Is AI included in the seat price or metered in credits?
- What are the minimum seats, term and billing frequency?
- Who owns the data we export, enrich or record?
- Which tool already in our stack could it replace?
Frequently asked questions about B2B sales software
What is B2B sales software?
B2B sales software is any application a business-to-business sales team uses to find, engage, sell to and close other companies. The CRM sits at the centre; engagement, data, conversation intelligence, enablement, deal-room, proposal and scheduling tools connect to it.
What tools do B2B sales teams use?
Most B2B teams run a CRM (Salesforce, HubSpot or Pipedrive), a data source (ZoomInfo, Apollo.io or LinkedIn Sales Navigator), sales engagement (Outreach or Salesloft), scheduling (Calendly or Chili Piper) and proposals with e-signature (PandaDoc). Teams with multi-stakeholder deals add conversation intelligence, enablement, digital sales rooms and forecasting.
What is the difference between a CRM and sales engagement software?
A CRM is the system of record: it stores accounts, contacts, deals and the forecast. Sales engagement software is the system of action: it runs the email, call and LinkedIn steps reps send each day and logs that activity back to the CRM. Many CRMs offer basic sequences; dedicated engagement tools add dialers and team-wide cadence management.
What is B2B sales engagement software, and how is it different from sales enablement?
Sales engagement software helps reps reach buyers through sequences, dialing and email tracking. Sales enablement software helps reps prepare and sell: approved content, plays, battlecards, training, coaching and often buyer-facing deal rooms. Engagement answers “who do I contact next?”; enablement answers “what do I say and send?” Most mid-market teams need both.
What are the best CRM tools for B2B sales in 2026?
Salesforce Sales Cloud suits enterprise customisation (from $195 per user per month, billed annually). HubSpot Sales Hub suits teams wanting a free entry point and one platform with marketing. Pipedrive suits small teams that need a simple pipeline (from $14 per seat per month, billed annually). monday CRM suits teams managing delivery projects next to deals.
How we chose these tools
We grouped tools by the job they do in a B2B sales process and picked one to four widely used products per job. We favoured tools with a public pricing page or a clearly described quote process, and dropped tools whose main job is general collaboration or gifting. Prices were read from each vendor’s own pricing page on 15 October 2026, in USD as displayed, before tax or discounts; where none is published we say quote-based. Apollo.io’s figures come from its own plan guide because its pricing page showed none. The 2026 changes come from vendor newsrooms, press releases and product pages linked in each entry. We used no user reviews or ratings.
